Location:
Hybrid position – 3-day week, with a minimum of 1.5 office-based days in Dublin City Centre.
Job Purpose/Primary Objective: An exciting and dynamic opportunity has arisen within the central HQ Team for a Business Support Officer to provide operational and administrative support across multiple services. This is an ideal role for a highly organised and motivated individual who can work independently in a fast-paced environment while maintaining a high standard of service delivery. The role requires someone with strong multitasking abilities, a courteous and professional manner, and the ability to adapt to changing business needs.
As a Business Support Officer, you will play a crucial role in supporting both the CEO and the career services team through various administrative and operational duties. This evolving role offers the opportunity to shape key operational areas while ensuring smooth communication, documentation, and overall support for MCM’s diverse teams.
Key Responsibilities:
Administrative & Operational Support:
- Act as the first point of contact for all inbound communications (email, phone, web), ensuring these are logged and appropriately distributed to the relevant team member.
- Provide operational and administrative assistance to the CEO and business leads, particularly in supporting documentation, reporting, and presentations that demonstrate the impact of MCM’s services on its users and the broader community.
- Manage reception duties including answering calls, handling office-based administrative tasks, and meeting and greeting attendees at career events, MCM in attendance events, and other key MCM meetings.
- Provide office-based mobile phone coverage on your working days over Monday to Friday.
CRM & Data Management:
- Update and maintain the CRM system, including customising it with new objects and workflows, as well as creating reports and dashboards.
- Ensure that the CRM integrates seamlessly with other tools to optimise operational processes.
- Assist in data visualisation and analytics, providing insights that inform business decisions. Training will be provided for areas of development where prior experience is lacking.
Support for Career Services & Executive Leadership Team:
- Dedicate one day per week to supporting the Career Services Pillar, assisting with communications, marketing, social media content, administrative tasks, and reports.
- Prepare presentations, reports, and stakeholder communications for the Executive Leadership Team
(ELT) and the Board of Directors.
- Assist the career services team with the delivery of their marketing, communications, and event management needs, ensuring that all documentation and reports are accurate and up to date.
Social Media & Web Administration:
- Assist in moderating social media channels for MCM and various pillars.
- Collaborate with the website administration team to upload details of events, workshops, and other key content to the MCM website.
General Support:
- Perform other duties as specified by the Business Services Lead or CEO, adapting to the needs of the business and team.
- Support the CEO in the preparation of reports, administrative tasks, communications, presentations, and internal/external stakeholder relations.
Required Skills & Experience:
- Independence & Initiative: Ability to work independently, demonstrating strong problem-solving skills and initiative.
- Communication Skills: Exceptional written and verbal communication skills with a professional and courteous manner.
- Organisation: Highly organised with the ability to manage multiple tasks simultaneously and maintain attention to detail.
- Technical Proficiency: Strong proficiency in Microsoft Word, Excel, and PowerPoint.
- Adaptability: Able to remain calm under pressure, with a flexible and adaptable attitude towards changing tasks or priorities.
- Confidentiality & Discretion: Ability to handle sensitive information with confidentiality and professionalism.
- CRM & Data Visualisation: A willingness to learn and gain experience in CRM systems, data visualisation tools, and reporting software. Prior experience is an advantage.
- Marketing Skills: Strong understanding of marketing and presentation A background in marketing, communications, or similar would be desirable.
- Multilingual Skills: Desirable but not essential.
- Professional Attitude: Ability to maintain a professional demeanour at all times.
Required Qualifications:
- Education: A third-level qualification in Business, Arts & Business, HR, Marketing, or a related field.
- Experience: Prior experience in business support, particularly within a creative sector or community-focused organisation, is desirable.
- Technical Experience: Experience using Microsoft Office suite (Word, Excel, PowerPoint) is essential. Experience with CRM systems and data visualisation tools is an advantage.
